We are currently seeking a Business Support Manager who will not only oversee standard office operations but will also play a crucial role in supporting the unique needs of our clients.

Job Summary:

As a Business Support Manager at FOI, your primary responsibility will be to ensure the smooth and efficient operations of our office(s) while also assisting in the handling of administration related to our clients. Your attention to detail, organizational skills, and ability to communicate effectively will contribute to the overall success of our team. This position requires a minimum commitment of three days in the office each week. Key Responsibilities:

Office Management:

  • Maintain a welcoming and professional office environment.
  • Efficiently manage staff schedules to meet operational demands
  • Oversee office supplies inventory and procurement.
  • Manage office equipment and ensure their proper functioning.
  • Coordinate the setup and maintenance of workstations for our team.
  • Bring out the best of branch’s personnel by providing training, coaching, development, and motivation
  • Locate areas of improvement and propose corrective actions that meet challenges and leverage growth opportunities
  • Share knowledge with other branches and headquarters on effective practices, competitive intelligence, business opportunities and needs

Administrative Support:

  • Provide administrative support to all departments.
  • Manage the scheduling of meetings, preparing agendas and taking meeting minutes with stakeholders.
  • Adhere to high ethical standards, and comply with all regulations/applicable laws
  • Oversee QuickBooks for basic bookkeeping tasks, such as invoicing and expense tracking
  • Develop forecasts, financial objectives, and business plans
  • Manage budget and allocate funds appropriately
  • Assist in the preparation of financial reports for projects.
  • Ensure that all KPIs & SLAs are achieved in-line with contracts

Supplier and Client Relations:

  • Address client and employee satisfaction issues promptly
  • Liaise with stakeholders involved in the process.
  • Assist in maintaining positive client relations by ensuring excellent service.
  • Handle inquiries and coordinate with relevant teams for client requests.
  • Network to improve the presence and reputation of the company

Communication and Team Collaboration:

  • Act as a central point of contact for stakeholder-related communication.
  • Collaborate closely with all Stakeholders to ensure seamless workflows.
  • Communicate effectively with Immigration clients and partners.


  • Previous experience in office management with exposure to the Immigration industry is ideal.
  • Strong understanding of Google suites.
  • Knowledge of QuickBooks would be a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using Office software and tools.
  • Basic knowledge of financial transactions and related expenses.
  • Attention to detail and accuracy.
